1. Booking an Appointment
How do I book an appointment online?
First, enter the desired specialty or examination. Then choose whether you’d like the earliest possible appointment or want to search specifically in a particular Vienna district, and filter by health-insurance-contracted practices (Kassenstelle) or private practice (Wahlarzt/ärztin). In the following section you can select your preferred doctor’s appointment. After filling out your contact information, a request is sent to the selected doctor’s office. You will be informed, if the appointment is available.
Is the appointment confirmed immediately?
No, the appointment is only confirmed once it has been accepted by the practice or the respective doctor. You will receive a confirmation as soon as your request has been accepted.
Can I book an appointment on behalf of someone else?
Yes, this is generally possible. Please provide the details of the person the appointment is being made for during booking, and note in the comment field that you are booking on their behalf. Please note that the practice always sends the appointment confirmation to the contact address provided at the time of booking.
Can I book several appointments at once?
Currently, the platform supports booking one appointment per transaction. For multiple appointments (e.g., a pre-consultation and the examination itself), a separate booking is required for each.
2. Finding the Right Appointment
Which doctors are available through the platform?
Currently, the specialties of Internal Medecine and Surgery are represented, offering the colonoscopy service. The range of services is being continously expanded to include other specialties.
How do I find the nearest practice?
You can filter your search specifically by Vienna districts. The results will show you doctors near you. The practice adress is also displayed on the profile page, so you can ereasily check the location.
Can I filter by health-insurance contract or private practice?
Yes. When searching, you can choose whether you’re looking for a doctor with a health-insurance contract (Alle Kassen) or a private practice (Wahlarzt/ärztin, treament has to be payed by the patient). Each doctor’s profile also shows all accepted health insurance providers.
3. Important Information about the Examination
Do I need a referral?
This depends on the specific specialty and your health insurance provider. Some specialists require a referral from a general practitioner, while others do not. If in doubt, please contact the practice directly.
Will the examination be covered by health insurance?
Whether and to what extent costs are covered depends on your health insurance provider and on whether the doctor has a health-insurance contract. Each doctor’s profile shows which insurance providers are accepted. If you have questions about cost coverage, we recommend contacting your health insurance provider directly.
What documents should I bring?
Please bring the following documents:
- e-Card (health insurance card)
- Referral
- Relevant prior medical reports
- Current list of medications (especially important: blood thinners, diabetes medications, thyroid medications)
4. Appointment confirmation & reminder
Will I receive an appointment confirmation?
You will automatically receive a confirmation of your appointment request. Your request is then forwarded to the pracitce. Once confirmed by the respective praticve, you will receive a confirmation by email and/or SMS, and the appointment is fixed. This confirmation includes all important information: date, time, practice address, and cancellation link.
Will I receive a reminder for my appointment?
Yes, shortly before your appointment – typically 24 hours in advance – we automatically send you a reminder by email or SMS.
How can I cancel or reschedule an appointment?
Please cancel an appointment as early as possible – at least 72 hours in advance – to give other patients the opportunity to take over the slot. You can cancel your appointment using the cancellation link in your appointment confirmation or by contacting the doctor’s office directly. Please note that a cancellation fee may apply if the appointment is not cancelled in time.
What happens if my appointment request is not accepted?
If you do not receive an confirmation of your appointment, please reach out directly to the concerning practice.
5. Data Protection & Data Security
What data do I need to provide when booking?
To book an appointment, we require your name and contact details (email address, phone number, insurance number). Additional information may be required depending on the practice and type of appointment.
Is my data secure?
Yes, protecting your data is our highest priority. We process your personal data solely on the basis of legal requirements (GDPR, Austrian Data Protection Act, Telecommunications Act 2021). The appointment booking software is operated by eTermin GmbH as a certified data processor, and your data is stored in Germany.
Who has access to my data?
Your data is only shared with parties necessary for processing the appointment – specifically eTermin GbmH as the technical service provider and the respective doctor. Your data is not shared for advertising or other purposes.
How long is my data stored?
Your data is stored only as long as necessary to provide our services or to fulfill legal retention requirements. It is then automatically deleted.
Can I request that my data be deleted?
Yes, you have the right to request deletion of your data at any time. Please send your request to: support@arztterminwien.at. We will process your request as quickly as possible.
Is my health data shared with third parties?
No. Your medical information (e.g., details about the FIT test result or pre-existing conditions) is only transmitted to the pracitce where you booked the appointment. It is not shared with insurance companies, employers, or other third parties.
6. Technical questions
In which languages is the platform available?
The platform is currently available in German and English.
Who can I contact for technical problems?
For technical issues with the platform, our support team is available at: support@arztterminwien.at. For questions about your booked appointment (time, preparation), please contact the practice directly.
What should I do if I haven’t received a confrimation email?
Please first check your spam folder. If the email is not there either, please contact support@arztterminwien.at and include your name, the booking date, and the specialty you were searchig for. Alternatively, you can also ask the practice directly whether your appointment request has been received.
7. Colorectal Cancer Screening
What is the difference between a FIT test and a colonoscopy?
The FIT test (immunological stool blood test) is a simple at-home test that checks a stool sample for blood. It is less invasive but only detects bleeding – and therefore only more advanced changes. Colonoscopy is considered the standard of colorectal cancer prevention: it allows the entire colon to be examined directly, and polyps can be removed immediately before they develop into cancer. A positive FIT test always requires a follow-up colonoscopy.
What is the difference between a pre-consultation and a colonoscopy?
The pre-consultation usually takes place about one week before the actual examination. During this appointment, your medical history, risk factors, and medications are discussed, you are informed about the procedure and possible risks, and you receive all information needed for bowel preparation as well as prescription for the laxative preparation. The actucal colonoscopy takes place at a separate appointment. If you are referred through the City of Vienna’s screening program and have a positive FIT test, youl will receive an appointment within 14 days. The positive FIT test result must be presented to the doctor.
From what age is a colonoscopy recommended for prevention?
Preventive colonoscopy (colorectal cancer screening) is recommended in Austria from age 45 and is covered by health insurance. If there is a family history (colorectal cancer in direct relatives), an earlier examination is advisable – please discuss this with your general practitioner. If a colonoscopy shows no abnormalities, it generally only needs to be repeated after 10 years.
I received a FIT test letter. What do I need to do now?
The letter is the official invitation to colorectal cancer screening. Please follow the instructions in the letter and drop off the test at a postal partner location. If the test resulat is positive, book a colonoscopy pre consultation via arztterminwien.at and indicate during booking that you have a positive FIT test result. Your general practitioner will of course also be happy to help.
How do I prepare for a colonoscopy?
A colonoscopy requires thorough bowel cleansing.
Typically:
3-4 days before the examination: avoid high-fiber foods (raw vegetables, legumes, whole-grain products, muesli)
1 day before the examination: only clear liquids (water, unsweetened tea, clear broth). No milks, no red or blue beverages.
The day before: take a laxative preparation as instructed by your doctor (prescription provided at the pre-consultation)
On the day of the examination: fasting; clear liquids are allowed up to about 2 hours before the examination.
Your doctor will advise you individually during the pre-consultation. Please follow these instructions precisely to ensure a reliable examination.
Is a colonoscopy painful?
A colonoscopy is usually performed under sedation (twilight sleep / short anesthesia) and is therefore painless. You sleep through the examination and are unaware of the procedure. The examination itself takes about 20 – 40 minutes. Afterward, you rest for about 30 – 60 minutes at the practice until the sedation has fully worn off. Due to the sedation, you are not permitted to drive throughout the same day. An accompanying person is helpful as you may need support after the examination especially while you can not drive yourself after sedation.
What happens if polyps are found during the examination?
In most cases, polyps can be removed painlessly directly during the clonoscopy (polypectomy) – without any additional procudure. The removed tissue is then examined in the laboratory. The practice will inform you of your findings and recommendations for further steps.
When will I receive the results of the examination?
Simple findings (e.g., unremarkable results, small polyps removed) are usually communicated to you directly after the examination in the recovery room. If tissue samples (biopsies) were taken, laboratory analysis typically takes 1 – 2 weeks. Your doctor will inform you in more detail about this.
